Privacy Policy

This policy explains how Motion Squared (“we”, “us”) uses personal data when you visit motionsquared.net, create an account, buy a product, join our email list or contact us. Motion Squared is the controller for this data. You can contact us at support@motionsquared.net.

1. The data we use and why

  • Orders and billing: your name, email address, billing details, location, tax information, products purchased and order history. We use this to process and fulfil your order, provide download access, prevent fraud and meet tax and accounting obligations. Our bases are performance of a contract, legal obligation and our legitimate interest in protecting the store.
  • Payments: Stripe or PayPal processes your payment details. We receive payment status, limited billing information and a transaction reference, but not your full card number.
  • Accounts and downloads: your login email, hashed password, account preferences and download records. We use these to operate your account, secure product access and provide support. Our bases are performance of a contract and our legitimate security interests.
  • Email marketing: your email address and consent record when you choose to subscribe. We use this only with your consent. You can unsubscribe through any marketing email or by contacting us.
  • Support: the messages and files you send, along with related order details. We use these to answer you, resolve problems and improve our products. Our bases are contract performance and legitimate interests.
  • Consent Mode: when a page loads, Google may receive your consent status and limited cookieless signals about the page request, browser, device and approximate location. Analytics storage remains disabled, and Motion Squared does not send product, cart, checkout or purchase events, unless you allow analytics. We use this limited processing to respect your choice and obtain aggregate service measurement; our basis is legitimate interests.
  • Optional analytics: if you choose “Allow analytics”, Google Analytics receives information about your device and browser, approximate location, pages viewed, product and renderer choices, cart and checkout steps, and completed purchases. Purchase events contain the order number, currency, value and product details, but not your name, email address, postal address or payment details. We use this to understand and improve the store, based on your consent.
  • Technical and security logs: IP address, browser or device details, request time and error or security events may be recorded by the site and its hosting providers. We use this to keep the service reliable and secure. Our basis is legitimate interests.

2. Cookies

The store uses cookies and similar storage that are necessary for cart contents, checkout, account sessions, security, your cookie choice and load balancing. These support services you ask us to provide. Google Analytics storage is denied by default. If you choose “Allow analytics”, Google Analytics may set cookies such as _ga and _ga_* to distinguish visits and measure how the store is used. Advertising storage and personalisation remain disabled. You can reject analytics when first asked or change your choice at any time using “Cookie settings” on the site.

3. Service providers and disclosures

We share only the data needed to run the store with providers acting for us or as independent controllers for their own regulated services:

  • Hosting and store software: Pressable, WordPress and WooCommerce.
  • Payments: Stripe and PayPal.
  • Customer correspondence: Titan Email.
  • Opt-in email: Sendy hosted on Amazon Lightsail, with Amazon Simple Email Service (SES) for delivery.
  • Consent and audience measurement: Google Analytics for limited cookieless Consent Mode signals and, only after you allow analytics, optional audience and commerce measurement.
  • Professional and public bodies: advisers, payment-fraud services, HMRC, courts or regulators where reasonably necessary or legally required.

We do not sell personal data. Some providers may process data outside the UK. Where data is transferred internationally, the provider and we rely on an applicable UK adequacy regulation or another lawful safeguard, such as approved contractual clauses, where required.

4. Retention

  • Order, invoice and related tax records are normally kept for six years after the end of the relevant accounting period, and longer where law or an active dispute requires it.
  • Account and entitlement records are kept while your account or download access remains active. If you ask us to close the account, we may still retain transaction records we are legally required to keep.
  • Marketing records are kept until you unsubscribe, withdraw consent or the list is cleaned after a prolonged period of inactivity.
  • Google Analytics event and user data is retained for 14 months. Aggregated reports may remain available for longer.
  • Support and technical records are kept only for as long as reasonably needed to resolve the issue, maintain security, meet legal obligations or establish legal claims.

5. Your rights

Depending on the circumstances, you may have rights to be informed, access your data, correct it, request deletion or restriction, receive portable data, and object to certain uses. Where we rely on consent, you may withdraw it at any time. Some rights are limited where we must keep data by law or need it to complete a contract.

To exercise a right, email support@motionsquared.net. You may also complain to the UK Information Commissioner’s Office at ico.org.uk, or to the relevant authority where you live.

6. Security

We use HTTPS, access controls, hashed account passwords and specialist payment providers. No internet service can promise absolute security, but we limit access to personal data and review the services used to operate the store.

7. Children

This site provides professional digital assets and is not directed at children under 16. We do not knowingly collect personal data from children.

8. Automated decisions and changes

We do not make decisions with legal or similarly significant effects solely by automated means. We may update this policy when the store, providers or law changes; the updated date above shows the current version.
